Privacy Policy

This policy describes what information True Site Solutions (“we,” “us”) collects through the True Site Solutions application (the “Service”), and how it is used, stored, and shared.

Information we collect

When you or your organization use the Service, we collect:

  • Account information — name, email address, and password (stored as a salted hash, never in plain text) or, if you sign in with Google, the profile information Google provides.
  • Organization information — your company name, industry, business address, and branding assets you choose to upload.
  • Operational data you enter — jobs, clients, schedules, standard operating procedures, and the records your team creates while completing work: readings, notes, photos, and signatures.
  • Billing information — handled directly by our payment processor, Stripe. We do not receive or store your card number.
  • Usage data — standard technical logs (IP address, browser, timestamps) used for security and troubleshooting.

How we use it

  • To operate the Service — creating jobs, running SOPs, generating reports, and the other functions you use it for.
  • To communicate with you — account notifications, support, and, if you agree to receive them, product updates.
  • To process payments, through Stripe.
  • To maintain security and prevent abuse.

Who we share it with

We do not sell your data. We share it only with:

  • Service providers we use to run the product — currently Amazon Web Services (file storage and hosting), Stripe (payment processing), and, where configured, Google (sign-in) and Resend (transactional email). Each processes data only as needed to provide their service to us.
  • People you choose to share with — a customer share link you generate exposes only the specific job record it's created for, to whoever holds the link, until you revoke it or it expires.
  • Legal requirements — if required to comply with a valid legal process.

Data retention and deletion

We retain your data for as long as your account or organization is active. An organization owner can permanently delete the organization and its data from the Organization settings page. Deleted data is not recoverable.

Your choices

You can access and update your account information at any time from your profile settings. To request deletion of your personal data outside of an organization deletion, contact us using the details below.
